About the Role:

Our Property team is seeking a proactive Lease Administration Manager to join us on a permanent part-time job-share basis - 5 days per fortnight (2 days - Week 1 and 3 days - Week 2 between Monday - Friday, 9am - 5pm). This is a permanent part-time job share role where you will be managing property leasing across all Demant entities in the Asia Pacific region. 

 

The purpose of the role is to oversee end to end lease administration across Demant entities in the Asia Pacific region. The role ensures all lease documentation and contractual obligations are accurately managed throughout the lease lifecycle - new leases, renewals, options, variations and terminations - while coordinating internal and external stakeholders to achieve commercially sound outcomes, maintain strong governance and reduce property risk. 

 

Key role responsibilities: 

  • Negotiate lease documentation with landlords, landlord's solicitors, and any other appointed external stakeholders for all new lease renewals, existing contracts exercising of options and terminations using analytical and statistical data to achieve best results for the business.
  • Coordinate execution of lease documents, summaries of negotiated terms, cover letters and complete lease files; maintain accurate records and document control.
  • Work closely with internal stakeholders to define lease parameters, terms and constraints, and provide clear, ongoing communication on requirements/limitations through to finalisation.
  • Manage and approve property-related invoices (rent, outgoings and other costs) on time, ensuring accurate month-end cost recognition and accruals. Ensure property costs are recognised in the correct period, including managing accruals for costs incurred or due to be incurred. 
  • Maintain and improve property information systems (e.g., lease register, HSP database) and deliver timely reporting on service agreements and KPIs, ensuring compliance requirements are met.
  • Prepare final lease documents and a summary of negotiated points for review/approval, including cover letters, lodging/filing legal documents and maintaining complete, audit-ready lease files.
  • Manage escalated landlord/facilities issues to ensure compliance with lease obligations, resolve stakeholder complaints professionally, maintain strong service relationships, provide KPI/service agreement reporting, maintain/improve property information systems (e.g., Lease Register, HSP database), and support statutory licences/certificates required for operating from properties.

You'll be successful in this role if you have:

  • Minimum 5+ years’ experience in property management or lease administration within a multi-site retail environment.
  • Strong understanding of the Retail Leases/Retail Tenancy legislation and broader property laws, with proven ability to read, interpret and apply lease terms and relevant legislation. 
  • Experienced in data analysis and producing regular reporting, including supporting annual budgeting; strong financial acumen and attention to detail in lease and contract administration.
  • Demonstrated capability in contract development and management (planning, updating, reviewing) and conducting research, due diligence and investigations as required.
  • Excellent communication skills with proven ability to negotiate and influence, including commercially sound negotiations with landlords/agents (e.g., repairs and maintenance outcomes).
  • Proven ability to coordinate multiple projects and competing priorities, managing diverse stakeholders while building positive working relationships with staff, customers, contractors and suppliers.
  • Confident, independent decision-maker who performs well under pressure and aligns decisions to company policy; strong written and verbal reporting skills with the ability to present recommendations clearly.
