Workflow Coordinator

Purpose of the Position

Act as the production liaison between the Canadian Operations (CDN Ops.) and Mexico Operations (MX Ops.), handling questions, kick-outs, and other information transfer between the two sites. Provide guidance on orders, customer expectations and CDN Ops. process norms to MX Ops. Responsible for ensuring that subcontracted orders are properly reviewed, prepared, and sent to subcontractor.

Responsibilities

Responsible for satisfactorily performing the following:

  • Make changes to orders in Navision as needed. Create and update SLA orders, review orders to be sent to Mexico (MX).
  • Create customer order details in the SLA system, including customer’s ear impression and scanned 3D file.
  • Register, modify and update ITE and Mold orders in SLA system.
  • Scan ear impressions for ITE and mold orders.
  • Review contracted orders are entered correctly in Navision and SLA system.
  • Update orders in Navision as needed.
  • Create, modify, view, search, and transfer contracted orders in Registration Client in SLA System.
  • Verify entered and imported data in Registration Client for contracted orders.
  • Communicate with counterparts in Mexico or other related facilities as needed.
  • Monitor, address, and resolve kickout orders.
  • Monitor workflow from CDA to MX to ensure proper order transfer, kick out resolution and query resolution.
  • Ensure action are taken to issues raised in kickouts by following it up relevant people/departments.
  • Save User settings for ITE remake orders.
  • Collect old aids from remake orders that needs to be sent for reprocessing.
  • Collect impressions and paperwork for contracted orders for either disposal or storage.
  • Run daily or periodic performance reports and communicate with counterparts.
  • Update the proper work center and information of the order in the system (Navision).
  • Refer to relevant Work Instructions specified in QMS for more details and guidelines.

Common duties:

  • Work to achieve the objectives/targets specified by the Manager.
  • Suggest improvement initiatives to support team and company objectives.
  • Report and investigate, as necessary, issues to the Manager.
  • Maintain a clean, safe and productive working environment.
  • Participate in regular meeting to address daily and recurring issues.
  • Report any non-conformity observed on the equipment, PC, Software, tools, and documents that are used in preforming the above assignments.
  • Participate in team initiatives or projects.
  • Assist other technicians as required to accommodate for changes in volume, workflow and/or staffing levels.
  • Provide guidance and training to each other when required in order to ensure all technicians are competent in the various areas of production and product knowledge.
  • Prepare and maintain records and/or reports as required by the Manager.
  • Meet and follow all Company and Departmental standards, policies and procedures regarding turnaround time, rushes, quality, and customer service.
  • Adhere to all Human Resources policies and procedures.
  • Conduct basic equipment maintenance as necessary.

In addition, this position will perform such tasks related to the production process as directed by the Manager or Director of Operations that may not be listed above.

Education and Related Experience

  • A high school diploma or equivalent is required.
  • Must be able to use a handheld computer.
  • Must have knowledge of Navision and SLA system.
  • Knowledge in modelling is preferred.
  • Excellent communication skills.
  • Must be detail oriented
  • Must be able to use Microsoft Office software

Details of the Position

Problem Solving/Judgement and Decision Making: 

Routinely follows established processes and procedures. Occasionally consults with the Manager for assistance with any technical issues that may arise.

Supervision Received: 

Primary reporting relationship is to the Manager – Production or Team Lead. Assignments are performed under general supervision, normally receiving instructions on routine work and new assignments.

Supervision Exercised: 

Has no supervisory responsibilities but may provide guidance and training to less experienced employees in the department or functional area.

Internal and External Contacts: 

Routinely interacts with other team members of the Production team, counterparts in Mexico facility and the Director of Operations.
