The main purpose of the Facilities & Projects Coordinator role is to oversee all reactive and preventative maintenance, and support property-related projects - including new clinic and office setups - across Australia and New Zealand, in collaboration with key stakeholders.

Responsibilities

Join Audika’s Property team and run the facilities service desk for 350+ clinics across Australia & New Zealand. You’ll triage, scope and dispatch maintenance tickets, coordinate vendors/landlords, and keep SLAs on track.
This is a hands-on coordination role (no direct reports)-perfect for someone who loves pace, detail, and clear communication.

  • Run the facilities service desk for 350+ clinics: triage/scope tickets, set priorities, dispatch correct trades, and manage SLAs (incl. on-call escalations).
  • Coordinate relocations and procurement, including clinic moves, hearing booth setups, and general property-related purchases.
  • Maintain vendor and stakeholder relationships, liaising with contractors, internal teams, landlords, and service providers to meet business needs.
  • Provide administrative and budgetary support to the Head of Group Property and contribute to annual property budget planning and reporting.
  • Oversee utilities and property operations, including contract management, invoice processing, emergencies, insurance claims, and Sound Level Meter calibrations.

You'll be successful in this role if you have:

  • Proven facilities/helpdesk coordination in multi-site retail/clinics or property operations experience.
  • Strong knowledge of trades, building services, cost management, architectural design, and mechanical/engineering systems, including vendor engagement.

  • High-volume ticket queue management, time blocking, and tidy documentation.
  • Familiarity with property laws, local council licensing, and permit processes.

  • Proven experience in budgeting and forecasting for property and facilities operations.

  • Working knowledge of tools such as Lease Eagle, Basware, and Trello is preferred.
