The role
We’re looking for an enthusiastic and dynamic Office Administration Manager to help create a truly world-class office environment.
This evolving role combines leadership, strategy, and operations — from managing day-to-day activities and leading a small team to acting as a key liaison between our Warsaw site and global functions such as Compliance, Procurement, Fleet Management, and Employer Branding.
You’ll report to the Warsaw Site Director and collaborate daily with a wide range of local and global stakeholders.

What tasks are waiting for you?
- Ensure smooth, efficient daily operations of our Warsaw office in Q22
- Oversee facility maintenance and continuous workplace development
- Lead and develop a small, high-performing team (currently two members)
- Organize and support internal and external events — from small team sessions to large-scale meetups (250+ participants)
- Collaborate closely with internal teams (Finance, IT, Compliance, Fleet, Employer Branding)
- Manage investment projects such as renovations, workspace improvements, and technology pilots
- Build strong relationships with vendors, administrators, and external partners
- Design and deliver communication initiatives that connect with our people — understanding needs, gathering feedback, and continuously improving the workplace experience

Experience & skills
- minimum 3 years’ experience in a similar workplace or office leadership role, preferably of comparable size, including team management
- experience working in or with Scandinavian culture (or a high willingness to embrace it long-term)
- excellent communication and stakeholder management skills — both written and verbal
- confidence in working with data, surveys, budgeting, and creating impactful presentations
- fluency in both Polish and English
